Do I need an occupancy control system in my office?

When we think of reducing transmission in the office, the first thing that comes to mind is remote work and determining which assignments and tasks can be performed from home.

Another one of our tasks as HR managers is to determine what remote employees need and how to supply it. But the hardest task of all is...how do we return to the office?

Not everything can be controlled manually

One of companies' biggest questions in the pandemic is how to return to normal when it's all over.

Some companies have decided to postpone returning to the office for at least another six months. Sometimes remote work has even offered such positive results that companies have devised ways of keeping it indefinitely. However, this presents new problems to be solved, such as:

  • What do I do with such a big office?
  • Do we continue to maintain static workspaces for each employee?
  • How do I know how many employees are currently in the office?
  • If we provide transportation or food services, how do I know how much to have available?

These are just some of the many questions managers may have. Many companies returning to the office also struggle to manage resources such as parking, meeting rooms, or workspaces. Maintaining proper distance between employees also becomes difficult.

Is there software that allows me to control this?

Many are unaware of new tools on the market for distributing office workspaces or manging resources such as parking, transportation, etc.

These tools generate comprehensive reports that make decisions easier. They also integrate hardware systems that can provide reliable data on office occupancy and social distancing.

How do I know if these tools can work for me?

You should first determine whether you will return to the office in six months or less. If you will still be remote in six months, you could consider these options later and focus on deciding whether it is even necessary to keep your office space.

Many companies have found that remote or hybrid work often gives better results than always being in the office. Some have commented on the costs thus saved Remote work is thus a new reality that is here to stay. Many companies value these savings and consequent beneifts for employees.

But is you are returning to the office, you might consider a workspace and parking management system:

  1. Do you have more than 100 employees?
  2. Do you track who is in the office manually?
  3. Do you have the means to enforce social distancing?
  4. Would you like a system for reserving meeting rooms?
  5. Would you like to perform contact tracing?

If you answered yes to most of the questions above, management software will likely be a great help to your company.

What benefits and abilities does it offer?

Corporate Experience in particular allows you in general terms to distribute, assign, and reserve work areas and parking spaces.

And if your company provides food services or transportation, this software allows for better management of company resources.

It also allows employees to fill out health questionnaires before coming to the office and keeps a log of possible employee symptoms.

Employees can manage their reservations for workspaces, parking, food, or transportation from an app rather than manually.

The company can monitor the most crowded areas.

Another benefit is the ability to visualize which areas are the most crowded and take steps to avoid crowding through heat maps.

The software can also notify cleaning staff as soon as the workspaces are vacated.
